How Our Whistleblowing Channel Works

At Soluxions, we provide a secure channel for any member of the organization, supplier or collaborator to report situations that may breach our Code of Ethics or applicable regulations.


How does it work?

Learn about the process we follow. Throughout the entire procedure, we protect the identity of the whistleblower and the individuals mentioned, and we guarantee measures to prevent any form of retaliation.


1. Submission of the report

You may submit your report to our email address denuncia@soluxions.es. Please indicate what happened, who was involved, when it occurred, and attach any documentation that may help clarify the facts. Reports may be submitted anonymously or identified; in both cases, they are handled with strict confidentiality.

2. Receipt and registration

Each report is assigned a case reference number to ensure traceability and proper follow-up. It is important that you keep this number, as it will allow you to securely check the status of your case, provide additional information or documentation, and communicate with the compliance body. The entire process is managed with strict confidentiality, whether the report is anonymous or identified.

3. Preliminary assessment

The compliance body carries out an initial assessment to determine whether the report provides sufficient grounds to open a formal investigation. During this phase, additional information may be requested from the whistleblower, always in a secure and confidential manner.

4. Investigation and resolution

If the report passes the preliminary assessment, an objective investigation is initiated, adapted to the nature of the case. Upon completion, the compliance body adopts one of the following decisions:

  • Accepted: indications of non-compliance are confirmed and corrective, disciplinary or legal measures are applied as appropriate.
  • Dismissed: if no sufficient indications are found, the case is closed and the decision is recorded.


5. Communication and follow-up

If the whistleblower identified themselves and provided contact details, they will receive information about the status and closure of the case, always respecting confidentiality and the integrity of the investigation. In the case of anonymous reports, the case reference number allows secure access to check whether the case remains open or has been closed, as well as to learn about the outcome and its rationale. All cases are monitored until their final closure.


How We Assess Incoming Reports

Each submitted report is reviewed according to clear, objective and transparent criteria. This ensures that all reports are handled with impartiality and professionalism.


Cases in Which a Report Is Accepted

A report may be accepted when it meets criteria such as:

  • It describes specific facts that present reasonable indications of a potential breach of the Code of Ethics, internal policies or applicable regulations.
  • The reported facts fall within the scope of the ethics channel.
  • The information provided allows for an initial assessment of the situation.


Cases in Which a Report Is Dismissed

A report may be dismissed when any of the following conditions apply:

  • It is unrelated to the Code of Ethics, internal policies or applicable regulations.
  • It lacks the minimum information required to analyse the facts, even after clarification has been requested through the channel.
  • It is based solely on opinions, rumours or personal assessments without specific facts.
  • It is manifestly unfounded or inconsistent.
  • It reiterates content that has already been analysed previously without providing new relevant elements.

This evaluation system ensures that each report is considered fairly, while respecting confidentiality and providing transparency in case management.

What You Can Report

Fraud, embezzlement, bribery, undeclared conflicts of interest, data breaches, discrimination, harassment, conduct that endangers health or safety, and any breach of the Code of Ethics or the law.
